How to Request an Additional Payment in kids.cloud | Step-by-Step Guide

Most payments on kids.cloud are tied to a group. You enroll a child, the fee is set on the group, and parents get notified to pay. That covers the everyday case.
But what about the payments that don't fit neatly into a group? A book that needs to be ordered separately. A one-off trip. A piece of material the child needs for an upcoming activity. Until now, there wasn't a clean way to handle these without bending the group setup to fit.
That's what the new Request a payment feature is for. You decide the amount, give it a title, and the parent gets notified by email and in the parent portal, with a payment link ready to go. No group required, no workaround needed.
The whole thing takes about thirty seconds.
Before you start: this feature is only available if your account is linked to a payment provider. If it isn't yet, get in touch with us and we'll help you set it up.
Step by step
1. Open the child's profile
Open the profile of the child the payment is for.

2. Go to the Payments section
Select the Payments tab.
3. Click "Request a payment"
You'll find the button in the top right corner.

4. Fill in the payment details
A form opens. Here's what you can fill in:
· Title — the name of the payment, for example Reading books
· Group — optional. Link it to a group if relevant, or leave it blank.
· Date — optional. Useful if the payment has a deadline.
· Price — the amount the parent needs to pay.
· Comment — anything extra the parent should know.
· Reminder — optional. If the payment hasn't been paid by the due date, kids.cloud sends the parent an automatic reminder.

5. Save
Click Save. That's it. The parent immediately receives an email and sees the payment in the parent portal, ready to be paid.
A real example
A child is enrolled in a reading group. The group itself costs €50, but the books are paid for separately at €20.
When you enroll the child, you set the €50 group fee as usual. For the books, you go to the child's Payments tab and click Request a payment. Name it Books, enter €20, set the date, and save.
The parent gets the notification, opens the parent portal, and pays. That's the whole flow.
Good to know: every additional payment is recorded in the payment journal and marked with a special symbol, so you can easily tell them apart from group-based payments at a glance.

What parents see
As soon as you save the request, the parent receives an email notification. They can log in to their parent portal, find the new payment listed alongside any group fees, and pay it directly with the same payment method they already use. No extra accounts, no separate links to manage.
Additional payments are now as quick to send as group ones. Less juggling, fewer workarounds, and a clearer picture in your payment journal at the end of the month.
